Xero Insight - Expense Claim

One of Xero's finest features, is one of their oldest. The expense claim.  This features allowed business owners and their employees capture any business expenses they have incurred out of their own pocket.  With the expense claim available on both desktop and mobile devices, it allows us to record these costs either back in the office, or whilst on the move, and with the ability to take a photo of the receipt that supports the claim, you can throw away the receipt before you lose it, as all the information will be stored in Xero, together with a digital image of the receipt.

How it works

·         Each user in your organisation can add receipts for their own personal spending. They can't enter a receipt on behalf of someone else. Once all receipts have been added in Xero, a claim can be submitted for approval.

·         The claim is reviewed by a user with the Adviser, Standard, Invoice Only + Approve and Pay, or Invoice Only + Purchases user role. They can approve or decline the full expense claim, or review each receipt individually.

·         Once approved, a claim must be authorised for payment. It's given a reporting date and payment date. It can then be fully or partially paid.

·         Expense claims can be edited, deleted, or voided depending on the status of the claim.

Cloud 9 News: Networking Groups Wanted

As our Partners look to grow their businesses, they are starting to get into the realms of networking, and as I am sure a lot of our readers can sympathise, it can be quite daunting.

As the Directors of multiple businesses, we can give our Partners guidance on how to conduct themselves at these
meetings, the type of contacts they should be making, and the basic "Dos & Don’ts", but we are looking for business
owners who either run or attend local networking groups for SMEs, who could introduce our Partners to their group.

We are looking specifically in the Milton Keynes, Northampton and Kettering areas, but if you have a recommendation of a group in another location, then we would love to hear from you.

Working in the financial industry, we completely understand that trust needs to be built overtime before business
owners give them access to such sensitive information, and because of this ideally the networking groups would be
weekly or fortnightly, to allow us to build that trust quicker.

The types of contacts we would be looking to make, would be business owners, bank managers, and accountants.

Featured software: Float

The biggest cliché in the finance industry is “Cash is King”, but cliché or not, there has never been a truer word spoken.

Xero Insight: New Feature To Manage Your Projects!

Although this feature is still in development, and there will no doubt be some fine tuning along the way, we can already see how this this is going to benefit Xero users.

Advanced Xero users will already know that there is an ability to track income and costs for specific projects, but using the Tracking Categories within settings, but this new feature of Projects on Xero allowed you to take the analysis of projects that step further.

The Projects features allowed you to account for staff costing and expense claims, as well as monitor and track the
progress and profitability of jobs.

The real benefit of this to business owners, is to really get a gauge on what is earning you the most money. It's very easy to be led by the big sales, and landing big contracts, but are they actually earning you as much as you think? With this tool, you will soon start to learn which projects are earning you money, and which are costing you. After all, "turnover is vanity, profit is sanity".

Cloud 9 goes North! Introducing Martina Sujova

Martina joined Cloud 9 in November 2017, and heads up our Fife office in Scotland. 

Having come from an administrative background, Martina joined Cloud 9 looking to develop her bookkeeping skills, and work with local business to help them with all things bookkeeping and accounting related. 

Having already achieved level 2 in her ICB qualification, she also added the Sage Line 50 and Xero certification to her CV. 

Throughout her career, Martina has picked up several accolades, including employee of the month. This has demonstrated her passion and drive to whatever she turns her attention too. We are delighted to have her on our team, because with her enthusiasm, combined with our wealth of experience, it makes the Fife office a great opportunity for local businesses to get more than an average bookkeeper working on their finances.
